Photography & Videography Policy
At Hotel Hartness, we are honored that our property serves as a backdrop for memorable photographs and creative projects. To ensure an exceptional experience for our guests and event clients, all photography and videography sessions on hotel grounds are subject to availability, operational considerations, existing contractual obligations, and management approval at the time of the request.
Photography Requests
All photography and videography sessions, whether personal, professional, commercial, engagement, wedding, family, branding, influencer, or editorial in nature, require advance approval from Hotel Hartness management.
Requests must be submitted to sales@hotelhartness.com and should include the requested date, time, location(s), purpose of the shoot, and anticipated number of participants. Requests may not be submitted more than 14 days prior to your requested date.
Approval Requirements
Approval for photography sessions is granted at the sole discretion of Hotel Hartness and is subject to property and venue availability, hotel operations and guest experience considerations, existing contractual obligations, scheduled hotel events and activities, and management review and approval at the time of the request.
Submission of a request does not guarantee approval. Please note location fees start at $500.
Priority of Contracted Events
Contracted events, including weddings, corporate functions, social gatherings, and other reserved activities, are granted exclusive use rights to their designated event spaces and related areas during their contracted times.
Contracted events secure exclusive rights and supersede any photography or videography requests, regardless of when the request was submitted. Approved photography sessions may be modified, relocated, or cancelled if necessary to accommodate contracted events or operational requirements.
Guest Experience & Property Access
Photography sessions must not interfere with hotel operations, impede guest access, disrupt events, or create safety concerns. Hotel Hartness reserves the right to restrict access to certain areas of the property at any time.
Right to Refuse or Revoke Approval
Hotel Hartness reserves the right to deny, modify, or revoke approval for any photography or videography session at its discretion.
Please submit all photography and videography inquiries to sales@hotelhartness.com.
